Operating rhythm: which meetings a growing company actually needs

Four meeting formats separate problem solving, managing results and long-term choices.

KORVENIQ CEO / 2026

A growing company quickly runs short of time. The calendar fills with meetings where everything is discussed at once: current failures, the month's numbers and strategic questions. As a result none of these conversations is of good quality.

We rebuilt our operating rhythm around four formats. Each answers its own type of question — solving problems, managing results and long-term choices — and does not mix with the others.

Why the same meetings do not work

When urgent problems, a results review and strategy are mixed in one meeting, the loudest topic wins. Long-term questions are postponed because something urgent always turns up.

Participants arrive not knowing why they are there and leave without decisions. The calendar grows and clarity does not.

FOUR MEETING FORMATS

01SyncA short meeting to clear blockers and agree the next steps.
02Problem reviewA specific question, an owner and a decision at the end.
03Results reviewA regular conversation on indicators, deviations and causes.
04Strategy sessionA rare format for long-term choice of direction.
“A good operating rhythm removes unnecessary meetings and leaves time for those where decisions are really made.”

The four formats and their jobs

A working sync is short and clears blockers. A problem review handles specific questions with an owner. A results review is a regular conversation on indicators and deviations. A strategy session is rare and chooses direction.

Each format has its own participants, duration and expected outcome. This lets people know in advance whether a meeting is needed and who should be in it.

4formats instead of one catch-all meeting
1question each meeting must close
1owner for each meeting's outcome

Rules that sustain the rhythm

A meeting has a question it must close and an owner for the outcome. Without that, a written message replaces the meeting. Decisions are recorded immediately, and the agenda and materials arrive in advance.

If a question does not belong to the format, it moves to the suitable one. It is a discipline that seems strict at first but quickly frees up time.

Each format has its own participants, duration and expected result.

How to check the rhythm works

Every quarter we revisit the formats: which meetings produced decisions, which became formalities and where a separate conversation is missing. The rhythm should change as the company does.

The most honest indicator is how many decisions are made on time and how many questions return for repeat discussion.
